When and to whom to send it
Send it the same day or within 24 hours. Address the interviewer directly if you have their email; otherwise send it to the recruiter or coordinator and ask them to pass it on. For panels, either send one email to each person or one to the coordinator naming everyone.
What to include
A good thank you email is short and specific. Generic notes add little.
- Subject line: Thank you for the interview, followed by the role name
- A thank you using their name
- One specific point from the conversation
- One sentence on why you are a good fit
- Optional: a short addition to an answer you want to strengthen
- A polite close and your full name and phone number
Sample email for a technical round
Subject: Thank you for the Java Developer interview. Hi Vikram, thank you for taking the time to speak with me today. I enjoyed our discussion about moving your order service to event driven processing, especially the challenges with idempotency. It is very close to the Kafka migration I led at my current company, and I would be glad to bring that experience to your team. Thanks again, and I look forward to hearing about next steps. Regards, Arjun, phone number.
Sample email for an HR or final round
Subject: Thank you for today's conversation. Hi Ananya, thank you for walking me through the team structure and the onboarding process today. Learning about the mentoring programme for new analysts made me even more excited about the role. Please let me know if you need any documents from my side. Regards, Priya, phone number.
Mistakes to avoid
Keep the tone professional and the length short.
- Sending a long email that repeats your resume
- Using a copied template with no specifics
- Spelling the interviewer's name or company wrong
- Following up repeatedly within a few days
- Asking whether you got the job in the thank you note
